Feedlot · Billing & custom feeding

Every line on the invoice is one animal on one day.

Feed from each pen drop, every dose and each day’s fees are charged to the animal as they happen. Your owners can open the invoice down to any head’s day.

From custom-feeding invoices at a 10,000-head feedlot

A half-month invoice for 2,669 head holds 37,685 lines, one for each head on each day. Every line carries the day’s fees, and 99.7% also carry feed traced to a pen drop. Its 33 checks ran in 30 seconds, and its total in Xero matched to the cent.

One owner’s invoice for 16–30 September 2026, issued in October.

Fees and charges

Set each fee once, and every head is charged on its own. Billing is up to date every morning, at the prices you choose.

  1. 01

Set a fee once: $0.45 a head a day for Angus from Hollowbark.

A head a day, a tonne of feed or once a head, for just the cattle you pick: by owner, breed, source, sex or lot.

  2. 02

It’s charged the moment the feed run is finalized.

Feed, services and doses land on each head as they happen.

  3. 03

Every night, every head on hand is brought up to date.

Each is charged its day, and any missed day is filled in.

    1:15 am · one line a head

  4. 04

Then price it your way: 10% on all feed.

Cost plus your margin by default, and every change is logged before the invoice goes.

Learnt from real invoices

A half-month never runs exactly to plan. These are the cases we met billing real owners, and how each is handled.

  • A commodity price arrives late. Re-cost the unbilled feed from its day. Invoiced days never move.

  • A mob is fed before it’s tagged. Its feed lands on each animal at induction, and the invoice warns until it has.

  • A batch goes on the shelf without a price. The iPhone asks what it cost, and shows the last batch’s price beside it.

  • An animal changes owner mid-period. Each day is billed to whoever held it that day.

  • An animal left on an earlier date. Record the date it left, then clear the charges written after it.

  • The same fees are imported twice. Rows already charged are skipped, so nothing is charged twice.

Billing handles 24 more like these.

  • A feed delivery that recorded 0 kg
  • A day whose feed was never costed
  • A feeding day without its milling charge
  • An animal with no arrival date
  • An animal marked gone with no departure date
  • Cattle still on the books but likely gone
  • An owner with no billing group
  • A group missed at invoicing
  • A draft billing feed at cost
  • A discount that doesn’t add up
  • A fee on a rate that isn’t locked
  • A medicine priced at $0
  • An ingredient re-priced after billing
  • A line billed below cost
  • A dose inside a withholding period
  • A big swing from the last invoice
  • An unusually expensive animal
  • Daily costs changed after the build
  • A day billed outside an animal’s stay
  • A period that’s already billed
  • Two people editing one draft
  • A price edited while it builds
  • An invoice for thousands of head
  • A feedlot with its own invoice numbers

Into Xero

Each issued invoice goes to Xero by itself. Your accountant sees the same invoice, to the cent.

  • It goes once, when it’s issued. As a draft for the accountant to approve, or approved, as you choose.

  • One line each for feed, fees and medication. On the accounts and tax rates your accountant picks.

  • The total matches the PDF. Where Xero works GST out a cent differently, a rounding line keeps them equal.

  • Payers are matched to Xero contacts. By ABN first, then by name. Nothing links without a click.

FAQ

Questions offices ask about billing.

How long does an invoice take to build?

Usually a few minutes. Our data from a working feedlot shows a median of 3.3 minutes, and an invoice for 4,655 head built in 16 minutes, in the background.

Can owners see our costs or margins?

No. Owners see your prices only. Costs and margins are removed in the database, and again by the service that serves their link.

Do owners need an account?

No. They open the link in the email and type a one-time code sent to their address. The PDF comes with the email as well.

What if an invoice is wrong after it’s issued?

Raise a credit note against it, or void it if nothing has been paid. The issued invoice never changes, and the correction keeps its reason.

Does it work with Xero?

Yes. Issued invoices go to Xero as drafts or approved, one line each for feed, fees and medication, matching the PDF to the cent.

Can each owner have their own feed prices?

Yes. Set a sell price for any ingredient by the tonne, from a day, or a margin by cost type, lot, days on feed or ration.
